Task list

The task list is your workplace in invoiceR. Open it with Tasks in the main menu. Each row is a task: a document waiting for you in a certain step, for example in accounting or approval.

A task can be assigned to you personally, to a role you are a member of, or to you as the deputy of an absent person.

Depending on your permissions you can choose between several views at the bottom of the list. invoiceR remembers your choice.

ViewFor whom
User ViewThe fast standard view for daily work.
Simple ViewShows a preview image of the document for each task.
Admin ViewFor accounts payable: more filters, sorting, export and actions for several tasks.

By default you see the most important information per document: Barcode, Supplier, Invoice #, Invoice Date, Status (the current step), Tenant, Amount and Currency.

Use the column chooser to show further columns, for example Owner, Role, Entrance to Step, Payment Duedate, Project or Chips:

  1. Click the column chooser icon in the top right corner of the list.
  2. Drag the column you want into the table header. Drag a column you do not need from the table header back into the window.

Reset Columns restores columns, filters and sorting to the default.

  • Filter per column: many column headers have a filter icon. Use it to show, for example, only one supplier or status.
  • Refresh: reloads the list. New tasks usually appear without reloading.

The Admin View also has a filter row below the table header, a filter editor (create filter), saved quick filters and sorting by clicking a column header. The user view does not sort by column.

Click a row. The document opens with the file and the tabs of the current step. How to continue is described for each step under Process.

Select several tasks with the check boxes on the left and click one of them. As soon as you finish a task, invoiceR automatically opens the next selected task.

With the corresponding permission (usually accounts payable) the admin view has these switches:

  • Show all Users Tasks: shows all open tasks of the tenant. You can open and process them, for example do the accounting, reject them or pass them on.
  • Show other Users Tasks: shows the tasks you are allowed to see, even if they do not belong to you.
  • Show parked Tasks: shows documents that someone has parked.

Right-click selected rows to open a menu with further actions, depending on your permissions for example Assign Task to different User or Role, Add chips, Delete chips, Finish tasks or Execute issue handling. The permissions involved are described under Permissions.

Chips are coloured markers on a document, for example “Parkiert” (parked), “Nachgefragt” (queried) or “four-eyes principle not met”. You see them in the Chips column and in the opened document. Click a chip to see more about it.
