Upload documents
If an invoice does not arrive by email, for example on paper, you upload it yourself in invoiceR. Scan the invoice as a PDF first.
Your administrators set up which capture types you see, see Set up document capture.
Upload a document
Section titled “Upload a document”- Open Reports in the menu. You see one card per capture type, for example one for invoices.
- Fill in the fields shown on the matching card. Depending on the setup these are Organization Unit, Classification, Assignment User or Assignment Role. invoiceR sets fields that are not shown by itself.
- Click Choose Document and select the PDF, or drag the file into the field (“…or drop here”).
- Click the Create … button. It carries the name of the card, for example Create Invoice.
invoiceR uploads the document and reads the data. This usually takes a few seconds, during which you see an animation. Then the new document opens directly, provided you are allowed to edit it. Otherwise a message tells you that the document was created, and it continues in the process.
Only one PDF can be uploaded per document. Other file formats are not possible.
Documents without a file
Section titled “Documents without a file”Some capture types do not need a file, for example a reclassification document. Such cards have no file field. Click Create … directly, the document is created and opened immediately.
If something goes wrong
Section titled “If something goes wrong”- “Timeout”: Processing takes longer than usual. The document continues to be processed in the background. Check the task list after a few minutes before uploading the PDF again.
- “Error creating the document”: The document was not created. Try again. If the error occurs again, contact your internal administrators.
- “No Reports configured!”: No capture type has been set up for you yet.
