Assignment

The assignment decides who does the accounting for a new document. Ideally this happens automatically and you do not notice this step at all.

After intake, invoiceR looks for a matching rule in the assignment rules, usually based on the cost center on the invoice. If it finds one, the document goes straight to accounting for the person or role stored in the rule.

How the rules are structured and maintained is described under Assignment rules.

If invoiceR finds no matching rule, the document goes to the Manual Assignment step. These tasks are visible to everyone responsible for manual assignment, usually accounts payable.

  1. Open the task. The Manual Assignment tab is already selected.
  2. Under Assign to User select a person, or under Assign to Role select a role. You can also select both.
  3. If needed, write a Comment for the person doing the accounting.
  4. Click Beleg zuweisen (assign document).

The document goes to accounting and appears in the task list of the selected person or of all members of the selected role.

Manual Assignment tab with the fields Assign to User, Assign to Role, Comment and the Beleg zuweisen button

Instead of choosing a person by hand, you can enter the correct cost center and run the automatic assignment again:

  1. On the Overview tab, enter the correct cost center in the Assignment Costcenter field.
  2. Click Problem with this document and select the action that runs the assignment again.

invoiceR then searches the rules with the new cost center. What the action is called depends on your setup.

If a document is already in accounting but with the wrong person, that person can pass it on with Beleg weitergeben, see Document actions. Accounts payable can also assign tasks to another person by right-clicking them in the task list.
