Check data and assign

After text recognition, a document ends up in the Manual assignment step if invoiceR cannot assign it automatically. Here you check whether the data was read correctly and decide who does the accounting. All users with the permission for manual assignment see this step.

Open the document and compare the recognised details on the Overview tab with the document. Check everything, including fields that are already filled in:

  • Tenant
  • the supplier’s Invoice number
  • Supplier
  • Currency
  • Type: invoice or credit note
  • Invoice Date
  • FiBu date (posting date)
  • Periodic interval, if the invoice covers a period
  • Payment Condition and Payment Method
  • Order numbers, if the invoice refers to an order
  • amounts and VAT

Which fields you see depends on your setup. Correct wrong values directly in the field.

  1. Open the Manual Assignment tab.
  2. Select a person under Assign to User or a role under Assign to Role. You can also set both.
  3. Add a Comment if needed.
  4. As soon as a valid selection has been made, the Assign document button appears in the bottom right. Click it.

The document goes to accounting and appears there for the selected person or for all members of the role.

If the assignment rules define who does the accounting for a cost centre, you can also assign the document via the cost centre:

  1. On the Overview tab, enter the cost centre in the Assignment Costcenter field. If text recognition has already found it, the field is filled in.
  2. Click Problem with this document and select the action that runs the automatic assignment again, for example Repeat accounting process (Automatic assignment).

invoiceR then looks up the matching person or role in the assignment rules. How the rules work is described in Assignment.
